Adding Staff Profiles

Adding, importing, and linking new staff/employee profiles

Overview

There are multiple ways to add staff to erly. Mostly, profiles will be created via the Recruitment or Onboarding process. However, these can also be manually added directly into the HR module by an Admin user.

Manually adding staff

💡 Admin Permission is required to manually add staff!

💻 Staff/HR > Manage Staff

  1. Click the menu (3 dots) in the top right corner
  2. Select Add New Staff
  3. Fill out the required Fields
  4. Click Add Staff

Minimum Requirements:

  • First Name
  • Surname
  • Email
  • Access Type - (Admin or Staff)
  • PIN - used for 'public mode' app access
  • Password


Payroll Requirements:

    💡 Enter all above fields, then update the staff profile to create a payroll profile or link to an existing profile!

    TFN Placeholders

    If an employee does not have (or has not yet provided) a TFN, you may use one of the following to set them up:
    • If a new payee has not made a Tax file number declaration, and 28 days have not passed – use 111 111 111
    • If the payee is under 18 and earnings do not exceed $350 per week, $700 per fortnight or $1,517 per month – use 333 333 333
    • If the payee is an Australian Government pensioner payee – use 444 444 444
    • If the payee chose not to quote a TFN and has not claimed an exemption from quoting a TFN or does not fit into any of the above categories – use 000 000 000.

    Send Invite To Use erly

    Sends a welcome email to staff so they can log in via the app and web portal to view their personal details, messages, and complete tasks.

    🔗 Create or Link a Staff Profile to OWNA

    Customers also using OWNA can link to one or more existing staff accounts. This integrates the two profiles and allows Staff's Documents to be synced to and accessed from their OWNA login.

    Importing Staff

    If you already have staff profiles set up in one of the supported payroll platforms (Xero, Quickbooks, MYOB) you can click on the import buttons at the bottom of the Manage Staff page, then follow the prompts to sign in to your payroll application and allow OWNA to access the staff details.

    OWNA or Employment Hero Payroll

    If you have an existing subscription with OWNA or Employment Hero Payroll, ask us during the setup process how we can import staff for you.

    Xero
    1. Log in 
    2. Allow access
    3. Select company (if your account is linked to more than one)
    4. Press Get Employees
    5. Select which employees you want to import
    6. Click 'Import Staff into WORKR'

    Ghost Account

    • 'Don't display on Staff Profile, Rostering etc (Ghost Account)' - this is for account managers, owners, and/or external payroll managers who require access to WORKR but don't want to be selectable/included in options. 


    This setting can be configured after you've added the staff, go back and edit their profile and check the above setting underneath the profile photo.
