Getting Staff Timesheets

Filter Date Range

To get the timesheets, you must first select the dates that you want to view. If you're exporting your timesheets to your payroll platform, you must ensure these dates match your pay period.

  • Click the first day, then the last day (that you want to include in the timesheets)
  • Click Get Staff Timesheets


Filter by Staff or Tags

The timesheet can be generated for all staff (blank/default), by a single staff, multiple staff or a group of staff (using tags).

  • Click on each field to select names/tags from the dropdown or start typing to refine the list
  • Tags can be set up under Workplace > Setup Details and assigned to staff in their Staff Profile page
  • You can select multiple tags in each field. However, if you select an employee who is not also in the group tag, they will not appear. But if you select a group tag, but only select some of the staff within that group, only those staff will appear.

Checking and Adjusting Timesheets

Reverting to roster times

  • To the left of each Actual Check-In/Out time, there is a blue arrows icon that you can click to revert it back to match the rostered time


Manually Changing/Editing times

  • To the right of each Actual Check-In/Out time, there is a blue edit icon that you can click to manually change the time to something other than the rostered time


Checking actual log times (Staff Logs)

  • On some occasions, an employee will have multiple check-in/out times throughout the day (e.g. working a split shift). In those cases, you may need to view/edit the times from the Staff Logs to make changes in between the first and last times of the day


Leave Hours

  • In the event a staff member has gone home early, you can add leave hours (e.g. personal/carers leave) by pressing the + icon in the Leave Hrs column and following the leave request & approval process

Roster Timesheet Shifts Only

These functions require a rostered shift:


Notes

  • Click to add shift notes for future reference (these may be related to differences from normal work patterns or changes made to the particular shift)


Mark As Checked

  • Click the box as a visual indicator that the shift has already been checked and confirmed

Alerts & Things To Look Out For

No Roster Times

  • If there are no times in the rostered times column, the staff may have been called to work without a rostered shift
  • You can still enter a shift into the roster even after the dates have passed

Did not Check-In - A red message in the Actual Hours column to prompt you to check if they actually worked that day

  • Either press the '+' icons to add actual times or add Leave hours


Actual Hours Red - Actual hours in red indicates that the actual clocked hours are greater than the rostered hours
  • Revert rostered times or check the logs to trim shifts back to the right hours

Summary

The summary calculates the hour totals for the date range and staff selected.

  • Hours - the total hours that they have clocked
  • Lunch - derived from the rostered lunch break (if you need to adjust this, you will need to do so from the roster)
  • Leave - based on approved leave requests and leave added to the roster
  • Total - Hours and Leave minus Lunch hours

  • Export to Xero (API)
  • Export to CSV
