Overview
Create and manage multiple contract/letter-of-offer templates and send them out via email as part of your onboarding process.
Signed contracts are then stored under the employee's profiles to ensure compliance and effective record management.
Contracts can also be sent to and signed by existing employees to ensure they are up-to-date.
Contract Templates
New Templates
To add a new template:
- Enter the Contract Title and Description
- Tick 'Requires Employee Signature' (optional)
- Use the rich text editor to enter the contract body/content
- Use the free converter tool to convert your existing contract to HTML
- Change to code view by clicking the '< >' button
- Select someone to countersign the contract (if any) - this only creates a to-do item (not a digital signature at this stage)
- Save as a draft or Publish (if it is ready to use).
Placeholder Tags
Placeholder tags can be used in your contract templates for areas that you need to customise for each person. This could be things like {{employee name}}, {{employment hours}}, {{position title}}, {{hourly rate}}, etc.
You can enter as many placeholder tags as you need and use the same tag in various locations within your template to streamline the creation process.
When you create a contract for a new employee, you can enter the specific details you want to replace each tag with, rather than having to edit the original template.
Create Contract
This allows you to customise your contract template with the specific staff details without having to modify the template.
- Click Create (under the contract template you would like to use)
- Select the staff (either from current staff or onboarding staff)
- Enter Contract Expiry date (if any)
- Fill in Placeholder Fields
- Click Create Contract for Employee
Send/Email Contract
Once your Contract is generated:
- Scroll to the bottom of the list of pending contracts
- Open the Action menu
- Click Send Contract
Manage Employee Contracts
The Staff Contracts screen is where you can manage all of the contracts you have created. Actions include:
- Send Contract (only if unsigned)
- View Contract
- Edit Contract (only if unsigned)
- Delete Contract (only if unsigned)
You can also use this to view specific details about each deployment, including:
- Number of times opened/viewed
- Date sent
- Contract Date (created)
- Expiry Date (if any)
- Status (signed/unsigned)
💡 Once a contract is signed, it will be added to the employee's profile
