Configure Leave Approvers & Notifications

Overview

Leave approval can be configured at three levels:

  1. Organisation (default) - approved by admin users
  2. Location - leave requests can be approved by staff with an additional 'location' permission and by admin users
  3. Primary/Secondary Manager - You can assign specific users who are responsible for approving leave requests from that profile

Configure Leave Approvers for Locations

💡 You need to be an Admin to configure Access & Permissions for staff!

  1. Go to 💻 Staff/HR > Manage Staff
  2. Edit the employee's profile and click on the Linking & Permissions tab
  3. Select 'Can Approve Staff Leave (for location)' and click Update Permissions
  4. Go to the Employment Details tab and select one or more locations
  5. Click Update Employment Details

Configure Approval by Managers (Primary/Secondary Approver)

Assign Managers
  1. Go to 💻 Staff/HR > Manage Staff

  2. Click on the staff name to edit their profile
  3. Go to the Employment Details tab

  4. Select Primary Manager

  5. Select Secondary Manager (optional) - they will also receive requests and can take action if the primary manager is unavailable or away

  6. Click Update Update Employment Details

Configure Manager Permissions

  1. Go to 💻 Staff/HR > Manage Staff

  2. Click on the manager's name to edit their profile

  3. Go to the Linking & Permissions tab

  4. Select 'Can Approve Staff Leave Requests' for Direct Reports

Configure Approval by Location

Configure Primary Location

  1. Go to 💻 Staff/HR > Manage Staff

  2. Click on the staff name to edit their profile
  3. Go to the Employment Details tab

  4. Select a Primary Location

  5. Click Update Employment Details

Configure Manager Permissions

  1. Go to 💻 Staff/HR > Manage Staff

  2. Click on the manager's name to edit their profile

  3. Go to the Linking & Permissions tab

  4. Select 'Can Approve Staff Leave Requests' for (Location)

Notification Emails & Alerts

Leave notification emails can be configured to go to a central location email and/or sent to the emails for employee's primary location.

Go to 💻 Workplace > Setup Details > Email/Notification Configuration

  • Enter one or more email addresses under Leave Requests to receive emails for all employees (separated by a comma and space)
  • Tag specific staff to receive push notifications in the erly app
  • Tick the checkbox to 'Send Email to Leave Requestor's Location main email address'

💡 Go to 💻 Workplace > Manage Site Locations to enter or update the primary email address(es) for each location.
