Adding to the Calendar
1. Enter a Title
2. Select the Type
- If Meeting is selected, you can assign to and make it visible to tagged staff
- If Appointment is selected, you can mark it as booked (or leave it open to be booked from your Appointment Calendar)
3. Add a Start DateĀ and Time
4. Add an End DateĀ and Time
5. Enter Description (optional)
6. Select if the event repeats
- If so, select repeat frequency (can be weekly, fortnightly or monthly) and repetition end date
7. Click Add to Calendar/Diary
Note: Events can be added via the web portal and in the app (press the + button in the top right corner of the calendar page in the app)
Calendar Types
- Admin - e.g. a new employee is starting, changing teams, etc.
- Birthday - Can be bulk generated from DOB in employee's profiles (Use the 'Automatically Bulk add Staff Birthday to Diary' button)
- Meeting - Can be added directly to calendar (for repeating meetings) or via Staff Meeting/Minutes (to capture additional information)
- Event - This could be anything from a special promotion/sale to the annual staff Christmas party
- Training - e.g. first aid, general team training, etc.
- Appointment - adds an available time to your public calendar which can be used by people outside of your organisation to make a booking
- Staff Leave - This is populated from approved Leave Requests
Visibility & Access
All staff have the ability to view, add and edit items on the calendar, so it's important that you don't include any private or personal details in the calendar details such as pay increases or private meetings.
Booking Appointments
Under the calendar, there is a unique link for your public appointments calendar. This calendar can be embedded in your website or send via email and allows people to book appointments you've added to the calendar, without having to create an account or log in.
The personal booking an appointment will be asked to enter:
- Their name
- Email address
- Contact/phone number
- Appointment date/time (this also includes the appointment title)
- Notes/Comments
- Option to be added to the mailing list
When someone books an appointment, you will receive an email notification with the booking details. They will also be added to your Customer/Clients list.
