Creating a Roster

- To start a new roster, use the date picker to select the week and click View Roster.
- If you see a message that no roster has been created for the week yet, click on the green Build Roster button to begin. This will give you a roster grid with the room/teams on the left and days of the week across the top.
Click on the + icon to add a shift
- Select the staff, shift time, and (optional) lunch break
Roster Notes/Comments
- Roster notes can be added at the bottom of the shifts section. These will be carried over from week to week until text is edited or deleted from the latest week.
- Roster notes are visible to all staff in the app
Edit, Copy and Delete Shifts
Each shift has options that you can select once it's been added, including copying it over the rest of the week if the person works the same shifts each day.

If you copy a shift, you can click on another day and select Paste to replicate the same shift details to that day.

Leave and Unavailable
When leave is approved by an admin, it is automatically added to the roster to prevent you from rostering them on while they are on leave. However, these can also be added directly to the roster by adding it in the leave section just like a normal shift, or by editing an existing shift and converting it to leave.

If staff mark themselves as unavailable in the app, you are unable to roster them on for that day. Staff availability can be viewed from the Roster Staff Mode screen.
Roster Costs
This report calculates roster costs by day and room using the hourly rate set for each employee in their profile. This report includes:
- Cost per day
- Weekly cost per Room (not including staff with no specific Rooms)
- Total weekly cost
Note: Leave costs are included in totals
Compliance Checks and Hour Totals
Manager on Duty
- A manager can be assigned for each day (Early/Mid/Late Session) even if they don't have a rostered shift. This will display at the top of the roster in the app and print views
- In order to select a Manager on Duty, the user must have a MOD Priority selected in their profile
Criteria Checklist
- This graph checks the roster shifts against Medical Qualifications selected in the staff profiles to help ensure you have someone on the roster with First Aid training and other medical courses
Staff Total Hours
- This report automatically calculates the rostered hours and splits them into weekly totals for:
- Total Hours
- Lunch
- Hours Worked (rostered hours minus breaks)
- Hours Paid For (rostered hours minus unpaid breaks only)
- Leave Hours
Publishing and Updating Roster
When you first create your roster, it will remain in Draft Mode (indicated by an orange message box at the top of the roster) until you click Publish Roster (underneath roster notes/comments). Once a roster is published it will be visible to staff in the App, as well as sending out a notification to alert staff that a roster is now available.
You can continue to make changes to your roster after you have published it. All changes are automatically updated in the app straight away. However, if you wish to notify staff after their shifts have been changed/updated, press the bell icon in the top left corner of the roster section to send another notification.

Duplicate Roster
Once you've built a Roster, you can duplicate it to any week (and even from any week), which means you don't need to start from scratch each time.
1. Check that to see if a roster already exists
- Select the date you want to duplicate a roster to and click View Roster - you should see a message that says 'No roster created for this week yet'
- If you have a roster already or even a blank roster without any shifts, you will need to delete it first by going to the top of the page, then press Delete Roster
2. Navigate to the roster you wish to duplicateÂ
- Select the date and View Roster
3. Click Duplicate Roster
- Select the Monday of the week you want to duplicate the roster to
- Press Duplicate Roster in the modal to confirm
- The page will refresh to show the new roster period you have created (unless a roster already exists)
